To verify whether the invoice matches what has been ordered and received, a purchase order matching process takes place in Business Central. To do this, you first link the purchase order to the invoice in Blue10 and save it. Want to learn more about purchase order matching in Business Central? Read more here.

The functionality has been extended with a purchase order matching window. This window contains details about the purchase order numbers and allows you to select one or multiple purchase order lines to be matched in Business Central. This provides immediate clarity on which lines will be matched.

Old way of linking a purchase order
If you have not yet activated the purchase order matching window, you will still see the old way of linking a purchase order to an invoice in Blue10. In the validation screen, you can enter the desired number in the Purchase Order Number field or select it from the dropdown menu. This dropdown menu has now been replaced with a Search button.

In the purchase order matching window, the status of the purchase order, such as quantity ordered, received, and invoiced, is visible as recorded in Business Central. Select the desired purchase order lines to be matched and save them.

Below are four different ways to use the purchase order matching window:

  1. Match the entire purchase order:
    This works the same as the current way of matching. If the invoice relates to the entire order, select the purchase order in the purchase order matching window. Everything under this purchase order will be automatically selected and sent to Business Central to be matched with the purchase invoice.

  2. Match part of the purchase order (Order lines):
    If the invoice relates to part of the purchase order, you can select only the relevant order lines. Open the purchase order using the arrow on the left and choose the desired order lines.

  3.  Match part of the purchase order (Receipt lines):
    If the invoice relates to part of an order line, select the desired receipt line(s).

  4. Select a combination of order and receipt lines:
    If the invoice is a combination of scenarios 2 and 3, this can also be handled via the matching window. You can select both order and receipt lines to match with the invoice in Business Central.

     

Getting started with the purchase order matching window
Before you can start using the purchase order matching window, you need to activate it in Blue10. Follow the steps below:

  1. Ensure that your Blue10 extension in Business Central is updated to the latest version. How you install this depends on whether you are working with Business Central On-Premise or SaaS: read more here

  2. After installation, go to Settings > Companies and open the relevant company

  3. Under the section Logistic Adapter information, set the option Use matching dialog to Yes

  4. Click Save. From now on, the purchase order search window will be available in the validation screen.
